What is the operator (and the Ledger)?
The Ledger is your morning action-inbox from KADRE’s AI operator. It drafts small, useful moves for you to approve — it never acts on its own.

No. The operator only drafts; nothing sends until you approve it. During the pilot, live sends to real studios are held, not delivered.
Owners & managersTurn the operator on (why the Ledger is empty)
The operator ships off by default, and only has something to suggest when a member has a due plan and there’s an under-filled class to fill. An empty Ledger is often normal.

Before any draft can send, it passes a guardrail check twice — message caps, a send-hours window, no-contact rules, and a hard block on over-promise health claims.

An approved nudge sits on a short hold before it can send. Use Undo in the Ledger to catch it in time; after it’s gone, undo isn’t possible.

Set provider availability (no open times?)
Appointments show no open times until a provider has real hours set. Fix the chain: add a service, assign a provider, set weekly hours, and confirm.

A class type isn’t a bookable session. Add your classes to the calendar — members can book a class the moment it’s scheduled.

Check members in for a class
Open Check-in, pick the class, and tap Mark present as members arrive. Every staff role can check people in; the board live-refreshes.

Sell a drop-in or class pack in person. Cash is the only pay-now method today; memberships are online-only. Card paths ship disabled and labelled “coming soon.”

In Sell at the desk, start with New customer. KADRE checks for duplicates before creating anyone, so you don’t make a second account for the same person.

Refund a completed card charge to the original card or as studio credit, full or partial. Refund is manager-and-above only — front desk should escalate.

From a customer profile, enter an amount, take cash, and hand over the redeemable code. Cash is the only working method; card paths are “coming soon.”

The Purchases card lists each payment with date, amount, channel, refund status, and who sold it. Balance and Visits round out the picture for disputes.

From the session’s roster drawer, tap + Book a member. If the class assigns spots, pick one; if it’s full, they go on the waitlist. Front desk and up can do this.

Late-cancel and no-show fees show on the member’s profile. Charge a card on file, record a desk collection, or waive — all manager-and-above only.

In the roster drawer, × removes a member and auto-promotes the next waitlister. Guest cancels attribute any fee to the host who paid; No-show fires the honest fee.

KADRE shows each role only the actions it’s allowed to take, and the database re-checks every one. If a money button is missing, it’s almost always your role.

Edit each staff profile from the Team page, then flip it to Public to feature them in the “Our Coaches” section. Profiles are hidden by default.

Download spreadsheet-ready CSVs of your members, attendance, and sales anytime from Settings. Your business records are yours to take.

Set up your coach profile
Go to Account → Staff profile to add your headshot, title, bio, specialties, and certifications. You edit your own profile; a teammate’s is owner-only.
Staff & coachesGet on your studio’s “Our coaches” page
You fill in your profile, but only an owner or admin can make it public — with an adult-consent tick. You can’t publish yourself; that’s by design.
Staff & coachesReview AI plans in your queue
Only low-confidence or flagged plans land in Plan review — an empty queue is the good state. Approve, edit-then-approve, or regenerate each one.
Staff & coachesYour athletes panel
Open Athletes to see your roster; pick one to view their current plan, adherence (booked vs planned), open feedback, and coach notes.
Staff & coachesCoach notes are internal
Coach notes are coach-internal — members never see them. You can edit or delete a note you authored; managers and above can edit any note.

Go to Availability to set recurring shifts and one-off exceptions. After you save, KADRE tells you the truth about whether members can actually book you.

Booking & your membership
Book a class
Open your studio’s schedule, pick a day, and tap Book. If the class is full, Book becomes Join waitlist; if it needs a waiver or a spot, you’ll be prompted inline.
MembersWaitlists — joining, your position, and getting in
When a class is full, Book becomes Join waitlist. A waitlist spot holds no seat and uses no credit; promotion is automatic and leaving is always free.
MembersCancel a class — fees and credit
Cancel early and it’s free (and your pack credit comes back). Cancel inside the late window and you pay a fee — and the credit is forfeited. The dialog shows your studio’s real numbers first.
MembersReschedule a class
Reschedule moves your spot to another time. The same fee rule as cancelling applies to the class you’re leaving; you don’t spend a second credit to move.
MembersCheck in when you arrive
If your studio has mobile check-in on, a booked class shows an “I’m here” button on class day within the check-in window. Otherwise, check in at the front desk.
MembersPick your spot in class
For classes with assigned spots (bikes, reformers, mats), tapping Book opens a room map. Tap an open spot to hold it, then confirm.
MembersYour wallet — membership, credits, and history
Open /wallet to see your membership, session credits, account credit, owed fees, and billing history. Redeem gift cards here too.
MembersYour AI weekly plan
/plan is your personalized weekly training plan — a today card, a week strip, and bookable sessions. You only see a plan once it’s been released to you.
MembersJoin your studio
There’s no “request to join” step — your first purchase, intro claim, or booking at a live studio automatically makes you a member.
MembersClaim an account you were invited to
When a studio moves to KADRE it emails you a claim link. Sign in with that exact email to carry over your membership and credits. Links are valid for 14 days.
MembersManage or cancel your membership
On /wallet, tap Manage on your membership to change or cancel it. Cancelling stops future renewals; the exact end-of-term behavior is set by your studio.
MembersBook an appointment
Appointments (PT, massage, 1:1s) live on /appointments. Pick a provider or service, then a time. You tick the cancel-window agreement yourself before confirming.
MembersSign in with a one-time code
KADRE signs you in with a one-time code emailed to you — no password for a new account. Use the same email your studio has on file.
